Privacy Notice

Who’s responsible for your details (the “controller”): Lee Stevens, trading as LMS Heating Solutions, Telford, Shropshire.

Contact for anything about your details: lmsheating.solution@gmail.com or 07562 107579.

Who this covers: customers and people who enquire, and business contacts such as letting agents, landlords’ managing agents, builders and other trades I work with or may work with.

What I collect: the details you give me when you get in touch (name, phone, email, address or postcode, details and photos of the job) and the records of any work I do for you (quotes, invoices, certificates).

Why, and the legal basis:

  • To reply to your enquiry, quote, and carry out and record the work: taking steps towards a contract with you, and performing it.
  • To issue gas safety and Building Regulations paperwork, register manufacturer warranties, and keep the records and accounts the law requires: legal obligation.
  • To ask you once for a Google review after a job, and to remind you when your annual service is due: my legitimate interests in running and growing my business. Where I do this by text or email, I only contact existing customers about similar services, and every message lets you opt out (the “soft opt-in” under the Privacy and Electronic Communications Regulations, PECR).
  • Business contacts: to keep in touch with businesses I work with, or may work with, about jobs and referrals (name, work email, work phone, company and role, from what you give me or publish yourself): my legitimate interests in running my business. I’ll only send a marketing email to a limited company or LLP if I identify myself and give a way to opt out; to sole traders and partnerships, only with their prior consent. I check phone numbers against the TPS/CTPS before any marketing call. Every message lets you opt out. I don’t pay or take referral fees. If I decide not to approach a business, I delete its details.

Your right to object: you can tell me at any time to stop review requests or reminders, and I will. That right is absolute for marketing. You can also object to other uses based on legitimate interests.

Who handles your details for me: I use these service providers, who process data on my behalf: Google (Gmail and Google Sheets, where enquiries are logged), WhatsApp/Meta (if you message me on WhatsApp), GoDaddy (website hosting) and Cloudflare (website delivery and security; it sets one strictly necessary cookie, __cf_bm, to filter out bots). Where needed to do the job or meet the law, I also share details with the boiler manufacturer (warranty registration), Gas Safe Register (Building Regulations notification) and my accountant. I never sell your details.

How long: enquiries that don’t become work: up to 12 months. Job and financial records: as long as the law requires (at least 5 years after the 31 January tax-return deadline for that year).

Your rights: you can ask for a copy of your details, ask me to correct or delete them, ask me to restrict how I use them, or ask for them in a portable format. Contact me as above. If you’re unhappy, you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).
